Scope
This notice covers personal data processed through this website. It does not cover the websites of partners or initiatives that we link to; they have their own notices.
What we collect
Through the contact, careers and collaboration forms: the topic you choose, your name, email address and message and, if you provide them, your company, country and one detail about your request. With each message we also store the page and language it was sent from and the time it arrived. When you visit the site, our hosting provider processes technical data, such as your IP address and browser type, to deliver the pages and protect the service from abuse. We do not use this technical data to identify or profile visitors.
Why, and on what legal basis
Form messages: to reply and to follow up on the conversation you started, on the basis of steps taken at your request before a possible agreement and of our legitimate interest in answering enquiries (GDPR art. 6(1)(b) and (f)). Technical data: to deliver and secure the website, on the basis of our legitimate interest (art. 6(1)(f)). Your cookie choice: to respect it on later visits, on the basis of our legal obligations and legitimate interest (art. 6(1)(c) and (f)).
Required information
Your name, email address and message are needed to reply to you. Without them we cannot answer your request. Everything else is optional.
Where it is stored
Form messages are stored in Google Cloud Firestore in the europe-west4 region (Netherlands). The website is delivered by Firebase Hosting.
Email
When you send a message, it is also delivered to our inbox and we send you an automatic confirmation at the address you gave. Email is handled through Google Workspace. Replies and any later correspondence are kept as described under How long we keep it.
Recipients and processors
Google acts as our processor for hosting and storage (Firebase Hosting and Cloud Firestore), under Google’s data processing terms for Firebase and Google Cloud; for customers in the European Economic Area the contracting Google entity is established in Ireland. Messages are read only by the Greenwood people who need them to reply. We do not sell personal data and do not share it for advertising.
International transfers
Stored messages remain in the Netherlands. Google may process limited data outside the European Economic Area, for example to deliver the website through its global network or to provide support. Such transfers are covered by the European Commission’s Standard Contractual Clauses included in Google’s terms and by Google LLC’s certification under the EU-U.S. Data Privacy Framework.
How long we keep it
Form messages are kept for 24 months after our last contact with you and then deleted. If a message leads to a collaboration or a contract, the related data is kept for as long as that relationship requires and for the periods required by Dutch law (seven years for business records). Technical hosting data is kept by Google for a limited period under its own retention rules. Your cookie choice stays on your device until you change or clear it.
Security
Data is sent over encrypted connections. The forms can only write messages to the database: the website cannot read them back and there is no public access to stored messages. Access to the database is limited to authorised Greenwood accounts.
Automated decisions
We do not use automated decision-making or profiling.
Cookies
This site sets no analytics or advertising cookies. It stores only your cookie choice on your device. Details are on the Cookies page.
Children
This website is not directed at children under 16, and we do not knowingly collect their data.
Your rights
You can ask us for access to your data, correction, deletion, restriction of processing and a copy in a portable format, and you can object to processing based on our legitimate interest. We reply within one month. You can also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or with the authority of the country where you live.
Changes
We update this notice when our processing changes. Last updated: 10 October 2026.
